In a professional environment it is essential to be assured of fast, reliable and accurate communication with for example customers and suppliers. iXware's DocGate Module addresses that issue and lets organizations communicate effectively and efficiently directly from their business applications. iXware's DocGate is the total solution for adding fax, e-mail, SMS and/or telex functionality to your business applications. DocGate is easy to implement and use. It requires no additional software on, programming of, or modifications to the business applications. Order confirmations, purchase orders, shipment notices, invoices, but also messages generated from office applications can be sent directly from the 'standard output' of business applications.
DocGate stands for Document Gateway. DocGate automates document transmission by fax, e-mail, SMS and/or telex directly from the business application to the recipient. Example applications are ERP, CRM, WMS and F&A packages. DocGate lets business applications communicate regardless of the platform they run on (IBM iSeries (AS/400), RS/6000, other Unix 'flavours', etc.). DocGate processes printer output. The module searches the document for valid delivery addresses. Depending on the type of destination/ transport it will be converted and sent by the applicable iXware communication module (fax, SMS, e-mail and/or telex). By adding additional modules to the server, iXware can become the organizations complete centre for communication.
An example of how the DocGate module is deployed:
How does it work?Documents can be sent to iXware's DocGate Module as a print assignment or with a so-called 'spoolfile'. DocGate lets iXware deliver these messages as fax, e-mail, SMS or any other communication service installed on the iXware server.
DocGate also ensures that the documents are delivered in the desired layout. DocGate converts the documents, adds the graphic overlay, deciphers the codes and 'hands' it over to the proper iXware communication module for transmission. DocGate uses identifiers to discern valid sent-to addresses in the spoolfile. The address can be part of the document itself or be present as a unique identity in the organization's database. DocGate uses the identifiers for more then addressing only. There are many command codes available for send parameters, reporting and spoolfile manipulation. On top of all of this, DocGate offers a powerful command generator for the management of command codes. DocGate offers a wide range of sending options. Some examples are: settings for urgency of transmission (priority), archiving, delayed delivery, least-cost-timing, least-cost-routing, merging of forms and documents, delivery reporting to a printer or a user inbox with the status of the message.
JOURNAL AND REPORTINGDocGate offers various options to monitor processed documents. The DocGate reporter maintains a journal of all messages. These journals can be used to provide status information to the user or the application itself. Moreover, DocGate includes a reporting editor, which facilitates tailor made text based reporting with complete status information. By using optional commands for a document a user can be selected to receive confirmation once the delivery of the message has been completed. Delivery confirmations are not limited to system users. They can be sent using any of the message services activated in the iXware server such as external fax, e-mail or SMS address. |
